Archway Automation ("we", "us", "our") is a workflow automation service for small businesses, operated by Allen Manoba and based in Brisbane, Queensland, Australia. Our website is businessedified.com. Regardless of whether the small business exemption in the Privacy Act 1988 (Cth) applies to us, we handle personal information in line with the Australian Privacy Principles (APPs) as a matter of policy.

We collect personal information that you voluntarily provide when you:

Take our free assessment (name, email, phone number, and your answers)

Book a free Systems Consult or other call with us

Submit an enquiry through our contact form or a form on our website

Purchase a paid product or service, including billing details processed by our payment provider

Become a client, including the account access, business information, and content needed to build and run your automation

Contact us directly by email, phone, or elsewhere

3. How We Use Your Information

We use your information to:

Respond to your enquiry, generate any report or result you have requested, and deliver the service you have engaged us for

Build, run, and monitor your automation, and communicate with you about your engagement

Process payments and meet our accounting and tax obligations

Send you service-related communications, such as updates about your engagement

Improve our website, funnels, and marketing, including through analytics and advertising tools described below

4. Marketing Communications

We will only send you marketing emails or messages if you have opted in, such as by ticking a consent checkbox on one of our forms. Every marketing message includes a clear way to unsubscribe, and we handle commercial electronic messages in accordance with the Spam Act 2003 (Cth). Opting out of marketing does not affect service-related communications about an engagement you have with us.

5. Third-Party Services and Overseas Disclosure

We use the following third-party services, which may process or store your information, including outside Australia (most commonly in the United States):

Meta (Facebook) Pixel, for website analytics and advertising

GoHighLevel, for customer relationship management, call bookings, and client communication

Stripe, for secure payment processing

Resend, for transactional email delivery

Anthropic (Claude), to generate the personalised content of certain reports and assessments, based on the answers you provide

Netlify, for website hosting and the secure storage of form submissions and records

Each of these providers has its own privacy policy, which we recommend reviewing. Before your information is disclosed to an overseas recipient, we take reasonable steps to satisfy ourselves that it will be handled consistently with the Australian Privacy Principles, though we cannot guarantee the practices of every third party.

6. Data Security

We take reasonable steps to protect your personal information from unauthorised access, modification, or disclosure, including restricting access to the team members who need it to deliver your service and using reputable, security-conscious third-party providers. No method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Data Retention

We keep your personal information for as long as necessary to provide our services and meet our legal obligations. Records connected to an engagement are generally kept for a minimum of 5 years to meet Australian tax and business record-keeping requirements, and longer where the law requires it. Where information is no longer needed, we take reasonable steps to destroy or de-identify it.

8. Your Rights and Access

Under Australian privacy law, you have the right to ask what personal information we hold about you, to access it, and to have it corrected if it is inaccurate or out of date. We will respond within a reasonable time and will not charge you for making a request.

9. Cookies and Tracking Technologies

Our website uses cookies and similar technologies for essential functionality and for analytics and advertising, including the Meta Pixel, which helps us understand how visitors use our site and measure the performance of our ads. You can control or disable cookies through your browser settings, though some parts of the site may not work as intended if you do. We do not sell your personal information.

10. Data Breach Notification

If we experience a data breach that is likely to result in serious harm to you, we will notify you and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth).
